If they don't refund my £30, we're going to court

On 31st July of this year a colleague and I stopped at Heartlands services for fuel and oil. I went through the usual procedure to pay with my fuel card- handed over card, advised teller of pump number, vehicle reg and mileage, signed receipt and left.

Over a month later- by a remarkable coincidence after any CCTV evidence would have been deleted showing the teller's mistake- my colleague got a letter from VARS Technology claiming he hadn't paid for fuel on the day in question, and that the fuel had to be paid along with a £30 recovery charge.

I emailed them to explain. No response. Because the deadline for payment was coming I emailed again and explained that I had paid the amount in full to avoid my colleague's car reg getting blacklisted, but I expected the £30 admin fee to be refunded.

After a week a Trahearne McBride emailed and advised that I'd need written confirmation from the registered keeper of the vehicle so that they could discuss the matter with me. I obtained this.

Finally, after providing the requested permission, Trahearne stated it was my responsibility to check the cashier's work for them, that admin fees were non refundable, and that because the amount was paid the case was closed. He knew damn fine that this would be his reply, but chose to make jump through hoops anyway.

Well he's been told that the case is not closed, and that if the £30 is not refunded by Friday 4th October we're going to court. Scots Law is based on the premise that people act reasonably, and I am quietly confident of proving this in court.

VARS Technology does not exist to target forecourt crime. Because the kind of people who deliberately drive off use fake plates or stolen cars. No, they exist to recoup money from cashiers mistakes. Whilst nobody disputes that fuel must be paid for in spite of any mistake, I think the matter of "Recovery Charges" is one for debate. Especially given that VARS will be charging fuel companies for the use of their technology and will make a decent sum.

This company is a scam

This company is a scam. Accused me of driving off without paying for petrol. Asked them for evidence as I had made a card payment. No evidence was given. No links to appeal or phone number given. I went into the petrol station to ask for evidence. They informed me that the previous manager had made a mistake, which had accumulated fees on top. VARS would not accept that. Instead they continued to harass me and soon had DCBL contact me on their behalf. DCBL were no better. I have now been issued a CCJ. It's still ongoing.

Money making company accused me for…

Money making company accused me for parking at a petrol station for over six hours as if I have any reason to park at a petrol station for that long spelt my title wrong failed to provide my car actually parked there for that long failed to provide the car make model and colour. I live nowhere near this petrol station for me to even have any reason to park there for that long also asking for bank transfer

Delayed response

I get it, the machine didn't work or something and I've walked off. But that was in July, why have you waited three months to come and get this money saying if I dont pay I'll owe more. I haven't budgeted for such a large amount of money to come out my account this month, it should have been sent back in July when it was first reported.

No E mail Response from VARS!!!

Accidentally drove off from a fuel station and shortly afterwards left the country for a number of of months. Then VArS sent a number of letters of notice to my home. Now trying to pay online but system states no action at this time. Sent a number of e mails to them to try and resolve but they are simply not replying. Where is the customer service? Don’t know what else to do as there is no number to phone. Very frustrating!!! My ref no is EG50000247262.

Scams

ASDA Express service stations Shirehampton high street.I went to purchase petrol as normal for last 10 years as was Co-op never have any problem. I went 19.8.2025andpetrol pump didnot click on , tried several times, can't reverse back ,out pup in. Waiting for response from member of staff nothing happened so I went.Today 02.9.2025 I got refused petrol as they said I owned 26pound for petrol from 19.8. , however I has been ther 26.8.and few more times and no refused till today. Deputy Manager have
accused me of driving away without paying for fuel his said probably I maybe forgot. I tried explain to him I never have petrol, pump was broke. Till today they charged me 56 pound for no fuel,lucky I did turned today for petrol otherwise I wouldn't know. He said my letter will come through the post. I paid 56 pound online for nothing. Company called VARS PAYMENTS who Asda use. Need to be reported to Police.

Scammers working for ASDA

This company are definitely crooks working for ASDA Express service stations.

I purchased fuel and paid for it.
They have accused me of driving away without paying for fuel when I have proof that i did pay. My advice is under no circumstances use ASDA express fuel stations.

They make aggressive threats when you refuse to pay for fuel that you did not steal.

Report them to Citizens Advice and the Police.

Always pay for our petrol

Always pay for our petrol - 100 percent of the time, but on visiting Rivington South services yesterday was told that we had been blacklisted when attempting to buy petrol. Contacted South Yorkshire and Greater Manchester police to find out if they had records of a 'drive off'. They didn't but now concerned that our name has been blacklisted and there may be problems when visiting N West in the future. Our local garage have never heard of VARS and they too have no record of us not paying for petrol. Am now awaiting formal contact from VARS to see what they say about this.

Unfortunately I can only give a 1 star…

Unfortunately I can only give a 1 star rating, as you are unable to give minus stars when rating on Trustpilot.
I've been issued with 2 fines for which I have paid.
I have been sent a further fine for one of the original fines and have proof (via the receipt they issue that you download online) and my Halifax bank account statement, that they have been paid.
I am wishing I hadn't paid at all now, as this company (and I use company in it's very loosest terms) is nothing but a bunch of SCAMMERS!!!!!!!!!!
I've sent upwards of 15 requests for an explanation of their actions, with no response.
The first being a message that showed how furious I was in receiving another fine notice for the one I had already paid. Both fines were paid well within their 14 days notice period.
I intimated in that message that "there had better NOT be a black mark against my credit rating" as my score is rated as excellent.
I'm now looking into taking legal action against them for harassment and have asked for a return of my money in lieu of the harassment.
They've obviously thought "send him another fine, he'll just think he hasn't paid one of the last ones".
!!!!!!!!!!!ABSOLUTELY PURE SCAMMERS!!!!!!!!!!!!!!
If anyone reading this wants to see my evidence of these SCAMMERS I'm more than willing to show what I have here in front of me.

This company is outrageous

This company is outrageous. Unethical and possibly criminal. I suggest you report them to Action Fraud (and the police, where necessary).

They send out fines after they know CCTV has been deleted. Asda keeps CCTV for 30 days and I, like others, received a fine after 47 days.

They threaten further fines and court action (intimidation), without any evidence of wrongdoing.

They do not have a phone number or any information about how the decision can be appealed. (no appeal address).

In addition, they are supporting criminal staff who are stealing cash from customers by covering their crimes (and making their victims pay twice).

We paid for our petrol by cash and believe the member of staff kept the money. CCTV would confirm this, but this company only care about making money through whatever means, including hounding and persecuting victims.

Don’t let them get away with it. Go to court if necessary.

Absolutely disgusting place

Absolutely disgusting place. I had my registration plates stolen off my car, I reported it to the police, obtained a crime reference number. Weeks later somebody had stolen fuel from a petrol station, picture evidence of two men and a different colour car with my stolen registration plates on. After months of back and forth with this company trying to prove and defend myself they finally told me they’d closed the case! Only that’s not what they did! They had sold this debt onto a debt collection agency who then pursued me to pay this outstanding balance which was not done by me! They lied, they caused me distress and this went on for months until I got a court letter! All this could have been avoided, as I had proof this wasn’t me and so did they! But they continued this for couple hundred pound! They are vultures, and I am now going to start to pursue them over the stress they have caused me for absolute no reason what so ever

LICENCED THEFT BY ASDA

These people are effectively acting as licenced thieves on behalf of Asda Express - when you contact them they tell you they will review your email to dispute the penalty charge then just continue to issue increased fines and not acknowledge any communication - if you are unlucky enough to ever come across these crooks after visiting an Asda Express service station and have problems i suggest you contact Asda Express direct at

Scamming unaccountable company

It would be no stars if that was allowed. This company has zero accountability. Very similar to what the post office was. They are judge, jury and executioner.

My wife got a drive off notice. Her bank account showed the same time and date at the petrol station with £54 debited. So we put in an appeal which has a single reply that they will look into it. This was about 2 weeks after we put the appeal in. At about the same time as the reply we then received a reminder with the cost upped. We left that as we were waiting for a reply after they had looked into it. A few weeks later my wife was distraught as the petrol station she went to refused petrol as she had been blacklisted.

I know of no other appeals that do not put on hold until resolved, take action while the appeal is ongoing and ignore emails when there is no other method of contacting them.

This company are really a disgrace with no accountability at all. Time to go to the ombudsman and mp about this company.

Not all bad…there is hope!

Whilst the arrogant approach, intentionally misleading Notice and lack of a contact centre are a huge annoyance following receipt of one of these fines, and they are BIG issues, I emailed every day sometimes 2x for 6 days without a reply, it’s not all bad…!

Thanks to this website and consumer power I found out the payment of the fine to the fuel station was both possible and preferable to resolve the issue - IF you feel you’re in the right, as I did as in my case the garage entered the wrong amount on the PED and I had only paid 54p rather than £56.

I went to thr fuel station, paid and shared the copy of the receipt from the Asda garage and thr next day got a fairly pleasant email from a real person at Vars confirming the issue was closed.

Thank you to TP reviewers for saving me some frustration and the fine!

Footnote…I now check the PED every time to make sure the value is correct before tapping!

Notice for a vehicle we don’t even own

They sent us a notice for non payment for a vehicle we don’t own and never have.somebody has given our address. We were no where near the motorway on the day in question and do not know anyone by the name that was given. The petrol station was less than helpful when it’s them that took their word they would pay. If it’s not sorted will be going to police. Have emailed but no reply and after reading these I don’t think we will

VARS technologies do not listen !

I filled my car with AdBlue and diesel from Pump 5and assumed that the cashier and or system would record the double purchase! I confirmed the pump used (the only pump with AdBlue) and without looking I paid by contactless card and left. Within 90 minutes I realised that I had only paid for the diesel so returned to garage to rectify my (and the cashiers) oversight and pay £17.17 for the AdBlue.
Unable to make payment as system had already recorded it as a Drive Off!
I was given an email address and reference number for use in contacting VARS Technologies so completed the ‘appeal’ form and paid for the AdBlue plus an additional £30 admin fee.l sent an email to VARS to appeal against the added charge but no luck despite explanations and submitting details of my bank showing payments made. I contacted Asda who were sympathetic and asked for the email communication with VARS.
Subsequently VARS asked me to submit copies of car registration document and confirm date of car purchase to confirm that I was the legitimate vehicle owner so that they could pursue the matter.
Then several days later and over a month after I attempted to pay I received notification that as I had already paid everything the case was closed. They also pointed out that there are notices on the forecourt to remind drivers to pay.
As they had absolutely no intention of considering a refund they could have saved everyone a great deal of time and frustration by saying so in the first instance

Disgraceful company

Disgraceful company, has absolutely no empathy for old age pensioners who may forget, My Dad who is nearly 80 yrs old completely forgot to pay after being told to move his car by some on site builders to which he moved the car but then drove off, he realised within an hour and came back to pay the money which was too late and the claim sent to this company. They have no compassion for old aged people in these situations and who struggle to remember things anyway, would never recommend this company to anyone!!!
